Email setup on iPhone and iPad

Q: I also want to synchronize calendars and contacts

Choose Exchange instead of Other as the account type. The server name is again mail.yourdomain.com, the username is your full email address and the domain is your domain name. On the last screen, turn on the Mail, Contacts and Calendars switches. If you would like to go step by step, choose iPhone and Exchange (ActiveSync) in the setup wizard.

Steps to set up your corporate email account in the iOS and iPadOS Mail app. If you also want to synchronize calendars and contacts, you can use the Exchange (ActiveSync) option.

All the values you will use during setup are below. Replace yourdomain.com with your own domain name; the username is always your full email address, not just the "name" part.

Setting up an account in iOS Mail

Menu names change slightly with the iOS version; the order and field names are the same.

Go to add an account in Settings

Open the Settings app and follow Apps > Mail (in older versions Mail, Contacts, Calendars), then Mail Accounts and Add Account.

The screenshot was taken from an earlier version of the program. The look of the windows may have changed; the field names are the same.

Select Other at the bottom of the list

Ready-made providers such as iCloud, Google and Yahoo are listed. Because your corporate address is not one of them, select the Other row at the bottom.

If you also want to synchronize calendars and contacts along with mail, select Exchange instead of Other and again enter mail.yourdomain.com as the server name.

Tap the Add Mail Account row

Tap the Add Mail Account row under the MAIL heading.

Enter your account details

Type your name, email address and password. The Description field appears as the account name on the phone. Continue with Next at the top right.

Fill in the server details

Make sure the IMAP tab at the top is selected. Enter the same server name for the incoming and outgoing mail servers. Although the username and password appear optional for the outgoing mail server, they must not be left empty, otherwise you cannot send mail.

In the screenshot the POP tab at the top is selected. If you will use IMAP, make sure you are on the IMAP tab.

Open the account and go to Advanced

After saving, go back into the same account, scroll to the bottom and tap the Advanced row. The port and encryption settings are here.

Set SSL and the port for incoming mail

Turn on the Use SSL switch and set the server port to the value below.

In the screenshot SSL is off and the port shows 110; this is left over from an old guide. Turn on SSL and enter the port as above.

Go back one menu, tap the SMTP row, then the primary server, and correct it the same way.

If a certificate warning appears

If you typed the server name wrongly, or no certificate is defined for your domain, a "Cannot Verify Server Identity" warning appears. First check that you typed the server name as mail.yourdomain.com.

If the warning appears even when the server name is correct, write to us before tapping Continue; we will check your account's certificate status.

Frequently asked questions

I cannot find the Other option

It is at the bottom of the account type list; you may need to scroll down. Depending on the iOS version, it may read "Other" in your language.

I also want to synchronize calendars and contacts

Choose Exchange instead of Other as the account type. The server name is again mail.yourdomain.com, the username is your full email address and the domain is your domain name. On the last screen, turn on the Mail, Contacts and Calendars switches. If you would like to go step by step, choose iPhone and Exchange (ActiveSync) in the setup wizard.

A certificate warning appears

First check the server name. If the warning continues even though you typed it correctly, do not tap Continue; write to us and we will check your account's certificate status.

I receive mail but cannot send

The username and password were left empty for the outgoing mail server. Under Settings > your account > SMTP > primary server, enter your full email address and password, with Use SSL on and the port set to 587.

The same address appears twice on the phone

The same account is probably set up both as IMAP and as Exchange. Delete one; if the same mailbox is downloaded twice, notifications also arrive twice.

The mail I sent does not show on my other devices

If you use IMAP, the Sent, Deleted and Drafts folders must be mapped to the folders on the server. Map them under Advanced > Mailbox Behaviors on iPhone, More Settings > Folders in Outlook and Account Settings > Copies and Folders in Thunderbird. If you use POP3, sent mail stays only on that device anyway; if you use more than one device, switch to IMAP.

What should I do if port 587 is blocked?

Some hotel, café and mobile networks block port 587. In that case, try port 465 with SSL/TLS for the outgoing server. If both are blocked, you need to ask your network administrator; unencrypted port 25 is not used for client sending.
